Book Keeper-

Reporting to the Director of Operations, the Bookkeeper organizes office operations and procedures; manages day-to-day accounting and finance requirements; and provides related clerical functions to support The Friends of the Paragon Carousel, a 501 (c) 3 charitable corporation. The Friends of the Paragon Carousel is both a both small non-profit and a small business where communication is essential to success. This part time position is vital to ensure future generations of children may experience the wonder, excitement and joy of a ride on a 1928 Philadelphia Toboggan Company Carousel. The hours will vary in the summer season and off season, averaging 20 hours per week.

Responsibilities:

·         Review Google email account messages and REPLY / respond within 1 business day

·         Manage Cash & Accounts Receivable

o   Audit Petty Cash on a daily basis

o   Process daily Cashout Reports

o   Prepare and make bank deposits

o   Track Party deposits

·         Process Payroll bi-weekly

·         Accounts Payable

o   Ensure timely payments that optimize cash flow and maximize discounts

o   Prepare quarterly and monthly tax returns, along with payroll, operating and business taxes

·         Financial Reports

o   Manage the Hingham Savings accounts and reconcile monthly

o   Manage the Payroll, QuickBooks, On-line payments, Square account 

o   Maintain Chart of Accounts, add new accounts as directed

o   Assist with the preparation of the annual budget and monthly forecasts

o   Prepare monthly reports (P&L, Balance Sheet, etc. ) and submit to Treasurer for distribution to Board of Directors

o   Facilitate processing of annual tax returns by preparing and submitting year-end reports  to the FPC CPA, and answering any questions throughout the preparation process

o   Review and analyze special reports as requested: summarize information, identify trends, analyze variances and identify potential corrective actions

·         Administer Insurance Policies - partner with Insurance Agent to renew General Liability Insurance, Flood Insurance, Workers Compensation, etc. Complete annual reports such as Workers Compensation Audit

·       Human Resources

o   Process new hire paperwork and maintain employee files

o   Process CORI requests for all Carousel Operators

·         Order office and other supplies through W. B. Mason and Staples accounts under the direction of the Director of Operations

 Qualifications

·         High School Diploma or Equivalent (required)

·         Associate’s Degree in Accounting, Business Administration or equivalent (preferred)

·         Proficiency with QuickBooks or equivalent financial software (required)

·         Proficiency with Microsoft Office Suite (required)

·         Knowledge of bookkeeping, basic accounting principles and financial reporting (required)

·         Five years experience working in accounts payable and receivable, general ledger, payroll and payroll reports (preferred)

·         Excellent written, oral and presentation skills

·         Excellent organizational skills

·         Demonstrated commitment to not-for-profit organizations
